### The 3-Step Client Onboarding Process
Irfan walks through the exact process DMR Agency uses to onboard new clients after the initial discovery conversation.
**Step 1: Proposal + Contract**
- A formal proposal is shared with the client
- Adjustments made on calls if needed
- Contract sent via HelloSign requesting key details (social links, content pages to promote, etc.)
**Step 2: Onboarding Form**
- After signing, client fills a detailed onboarding questionnaire
- Covers business goals, target audience, competitors, content preferences
- Ensures the agency has everything needed to start strong
**Step 3: Kickoff Call**
- A structured call to align on strategy, timelines, and expectations
- Sets the tone for the working relationship
This system keeps onboarding consistent regardless of team member handling it, and helps new clients feel welcomed and confident from day one.

hi this is um your host San AAL and uh
today um I would like to
discuss um how we onboard new customers
at our agency um so you know um I think
these um steps that I'm going to share
with you will uh work pretty much in
every
industry um so I hope it will be helpful
to you uh um and um secondly if if you
are someone who potentially wants to do
business with our agency and and utilize
our um SEO and digital PL
Services um then I'm sure that this um
you know this um uh podcast episode uh
is going to uh help you okay um

so uh let's get
started now um we have been in business
since 2013 and uh there are a few steps
that uh we use in order to make sure
that uh we can um uh help new clients
feel welcomed and appreciated and then
that we can give them a good experience
because obviously that's beneficial for
everyone involved right so um after the
initial uh discussion and so on we we
share a formal proposal um we might
actually um you know hop on a call or
two do with with the client and maybe
make some changes to the proposal and so
on if
required um we will then send the
contract which will by the way uh also
ask the client for some details like you
know um their their let's say their
social media links or any of their
particular content pages that they want
to be promoted and so on right um so
once they add their details in the
contract and and um sign it via hello
sign uh we we send them an invoice uh
right now we are accepting payments via
wi transfer only but um in sort of the
next few uh weeks we will be able to U
accept stripe and PayPal as well um step
two campaign launch so we recommend um
that that we start with a quick um
Discovery call Via Zoom uh which may be
about 30 minutes where we will try to
better understand the client um client's
concerns and needs um and and for the
particular campaign and um um address
their concerns and make sure that um you
know um that everything is in place the
way the the the client wants and the way
it was the way it uh makes sense for
their campaign to be a success uh we may
also um you know schedule a a recurring
monthly Zoom call um again this is
optional but we we recommend it it it
helps build a stronger relationship and
it it helps both sides to basically
um better understand each other um so
the the the the the third step is um
which is pretty much the last step of
the the process the onboarding process
is that the campaign is launched so uh
we provide realtime reporting uh via you
know your your campaign's uh Google
sheet you will be provided access to
your Google sheet um you know if if by
the way if you are listening to this on
an audio podcast device um you can check
the description and it will have a link
to some of these resources that I'm
going to talk about but um you know this
is the
um uh the the um um uh one of the this
is one of the tabs of the uh project
sheet you can see that um who did the
Outreach what were the backlinks that
they earned uh what was the domain
rating or Dr of these
backlinks um then uh what they do follow
back links or no follow back links uh
what they Contex ual backlinks or or not
I mean obviously we we always do
contextual backlinks but we try to make
sure that you know this is clearly
mentioned and so on and um again this is
one of the tab of the project so there
may be a couple of others where the
client can you know for instance C if if
uh what are some of the particular sites
that we have uh contacted in the last
let's say um day week or month um what
are some of the positive responses that
we have received uh we also So within
the same Google sheet we also keep a log
of any of the follow-ups that we are
doing um so there can be different
reasons for different follow-ups but um
um in case of herrow um especially um
some sites might um you know um uh
provide an unlink citation so we
recently had an incident uh incident
where um the client was mentioned in a
couple of pretty high uh Authority
websites like MSN and um I think FES as
well but uh those sites did not give the
client a backlink so then we try to
follow up with the Target website and
try to get a backlink um so that other
than the digital PR benefits the the
client can also get some SEO benefits
right um and other than
that there are quite a quite quite uh
quite there is quite a lot of
information in that real time um
reporting sheet that that you are
provided access to right in the start of
the project you are also introduced to
your team uh I mean we are not a large
team but uh we try to have uh an account
manager responsible for for every
campaign so uh they will be the ones um
your account manager will be the one who
will be keeping you updated and and uh
doing uh most of the uh operations task
and keeping you uh informed and so on um
now if um some clients uh want want us
want to review our um Pitch templates
because um you know they they want to
make sure that um um you know the
quality and the way we are presenting
the brand and everything is um is um you
know um um correct and and uh nice so
you know we able to provide some
templates as
well and um yeah I think this is pretty
much it uh but in case you are wondering
um you know other than the real him
reporting sheet and in terms of what
happens after step three so in terms of
the you know the ongoing um uh customer
uh engagement process um you know we we
uh keep you updated in weekly um emails
so you know you will be getting like
three to five sentence email like you
know uh here are a couple of positive
responses and you know these are the
links we have earned and um in case of
guest posting the the initial backlinks
may start coming in pretty pretty much
uh from the first week um depending on
you know what industry you are in and
what your requirements are and so on
herrow is a tad bit slower so the first
links will start coming in in about 1 to
three weeks and um um you know the the
the sort of the full impact of the whole
project the whole campaign um you you
will have to wait a bit and you know say
you'll have to wait for say month two or
month three to see uh all the backings
coming in uh especially in the case of
of larger websites uh they have a
Content calendar they have a large queue
they're very busy people so you know a
pitch that we have sent in month one may
you know yield uh a back Link in say
month two or something like
that um apart from the weekly uh updates
that I told you about that you know we
we send you those uh brief email updates
um um we we also provide you a monthly
PDF report so uh I have a sample here uh
this is what it looks like will mention
the date of the campaign uh the monthly
campaign you know and it will mention
some of the notable sites that we have
earned backlinks from uh along with
their domain rating and the nature of
backlinks and and and so on uh we we as
I mentioned before we only um um as I
mentioned before elsewhere we we only
charge you for earned backlinks right so
um you know you you don't pay for the
hours um at least not right now that's
not our business model at at this stage
but um we we do provide you some ideas
on how many hours we spend on on
pitching uh and and uh how many pitches
we sent and so on um depending on
different uh reasons um you know it can
be uh we may we may send more one more
pitches in one week um than than another
week um you know this this can be due to
reasons such as um uh us working on more
follow-ups rather than you know sending
new pitches or it may be because there
are not enough um relevant hero cues
available that we can answer right so
this is what the uh monthly report looks
like and uh this is um you know how the
entire onboarding process at the DMR do
agency uh works like um so I mean you
